See 2. In the ECF, a batch will consist of documents related to a single case number. Batch Classes are described in 2. This batch class should be used when the document has not yet been reviewed by a case worker or change center worker.

It would likely be used by a receptionist in the lobby of an agency or by a mail-room worker for every document that comes into an agency. It is used when an agency wants to validate a document at the agency and not at the DPU. This batch class is used if an agency is using Scan First processing and wants the DPU to validate the batch.

After scanning, the document is sent to the DPU where it is put in a queue to be validated. This batch is used if an agency wants a worker to view and process a document before it is scanned but they want the DPU to validate the document. After scanning, the document is sent to the DPU, where it will be validated on a lower priority since the worker has presumably already made any changes in CARES. Also, documents scanned in the agency using a Scan First batch class appear in the Document Viewer.

Keep the 4 separator sheets in 4 folders or baskets. You can experiment with colored paper used for separator sheets, but darker colors may cause the bar code not to be read.

It is also possible to add conventional barcodes typically Code 39 to a sheet to, for example, indicate the document type. It is possible to incorporate a patch code into a form typically a Patch 2 code on the first page of the form , to indicate a new file should be started for each form.

The exact action taken on recognising a patch code will depend upon the system and software used, and may be configurable in a given application.
